Bright Innovators Academy Policy

 Purpose: This policy covers areas such as enrollment, fees, conduct, safety and who it applies to like students, parents, and tutors.  

After parents decide to enroll their children in any class, Bright Innovators Academy (BIA) will send the Google form to collect the student's information required for center enrollment. The BIA policy link will also be emailed to the parents. Students can only start classes after parents accept the policy and return the email acceptance. Parents pay the tuition fee in advance, including enrollment one-time charges for classes, completing the Google form, and accepting the policy.

New students enrolling during middle of the session, and needing help with the topics previously covered before their enrollment date. In such cases, Academy can help with extra paid sessions outside of regular classes.

 Payment can be made through Zelle at 945-268-7569 or by cash or check. 

BIA will send the monthly invoices to the parents on or before the first day of the month. BIA will conduct 42 classes in a calendar year and will follow a holiday schedule similar to ISD including national holidays. the montly fee is prorated for each month towards 42 classes in a calendar year.  Here is the link for Bi Calendar: https://brightinnovators.org/bicalendar The fees are due before the first class each month for the entire month. If your student joins the classes later than the first week of the month, tuition will be prorated only for the first month. 

If the monthly tuition fee is not received before the first class, after a week, the Academy will resend the new invoice to the parent via text/Whatsapp/email, including a late fee of $1 per day for the number of days of delay in payment. After seven days of delay, the classes will be stopped for the student until the fee is paid, including the late fees.

One time registration fee is charged during the student enrollment process and is non refundable.  This one-time fee excludes any competition-related charges.

Regarding competition, competition fees will be shared among the team members depending upon the competitions, the academy decides to participate during academic year. The Academy will  distribute the team enrollment fees for specific competitions across the team members equally and It will be included as part of the monthly invoice as a separate line item. If any competition needs individual-level enrollment, the coach will work with all the parents individually, and the parents will do the enrollment and pay the fee directly. 

BIA requests referrals, and referrals and multi-class discounts may be offered occasionally. This is entirely at Bright Innovator Academy’s discretion.

For students who would like to explore the new long-term course and attend the first class, that first class will be called a complementary class. However, if a student likes it and decides to continue, this class will be included in the monthly and invoice classes. The fee will be prorated in a short month according to the number of classes. In cases where the student decides not to continue after the complementary class, this class will be considered free and will not be charged to the parents. 

Demo class policy does not apply to summer and spring camps or workshops.

• Student Behavior Rules

Students should be followng the academy standards and rules during class. Students not following the rules will be politely requested 2 times. After that a note is send to parent to help maintain the class decorum.
 

• Parent/Guardian Conduct 

Academy will update the parents time to time on student progress. However, parents can always talk to the teachers after the class for any questions/concerns or request time set for 1-1 discussions. We appreciate feedback so parents can share it with academy during 1-1 discussions. However, discussions during /middle of the competition are highly discouraged.

• Safety protocols and reporting incidents

If a parent discontinues their child's classes, they should send one month's advance notice to the academy. There is no cancellation or refund during the active month, and the fee will be charged for the entire month. The one-time center enrollment charges are not refundable. After discontinuation, if the parents decide to reenroll the students, they are considered new students and will have to pay the enrollment fees again. 

If students have a situation like travelling out of country, the Academy will allow pause/hold for a maximum of one month in one calendar year and will not offer compansatory classes towards the skills covered during the missed classes. If parents want to receive material /guidance during that month, this will not be considered a pause/hold rather, it would be charged the regular tuition fee, and the Academy would try to support the student with extra help by providing study material, home work review and online classes as an option.

For students enrolled in summer and spring camps or workshops and later decides to cancel, if the parent informs BIA about one week or more before the camp, they are eligible for a refund. 

In case of extreme /unavoidable circumstances, the Academy has the right to postpone or cancel the camps within two days of advance notice and return the exact amount paid by parents during enrollment.  

The Academy will take pictures of students and faculty during classes, camps, and competitions. As part of this policy acceptance, parents agree to BI sharing/uploading/posting pictures to BI websites and the competition bodies, needing pictures of students participating during exams. If you disagree with this policy, please inform the Academy by replying to the policy acceptance email.

Our studio is located in Frisco, TX. Classes will be held at the Academy. However, parents will be informed of the new class location/format if there are any changes.

If a student is enrolled in regular classes, and unable to come to the class.  Parents should send BIA advance 24 hour advance notice. The notice will help BIA teachers adjust the class logistics accordingly. If no notification is received before the class, BIA may not consider a make-up class. A 35-minute make-up class will be held for long-term courses before next week's class. One make up class in a month is permitted.

Any other adjustments or online/remote arrangements are at the BIA's discretion to conduct regular or make-up classes. 

For tutoring, if a make-up class is needed, don't hesitate to contact the tutor for a suitable arrangement. To be eligible for a tutoring make-up class, please let the tutor know one week in advance to adjust accordingly.

This policy does not apply to summer and spring camps or workshops.The student may receive the handouts and homework per the instructor's decision. The nature of the camp, such as online versus in-person, is up to the instructor's discretion and will not be changed for any circumstances. 

TRAVEL:

If the team has to travel within the town for the competition, BIA will work with parents towards drop-off and pick-up arrangements. If outside travel arises, BIA will discuss it with parents and take the best action, keeping student safety first.

SUPPLIES:

The Academy will provide all the supplies and materials required for math, robotics, or tutoring classes, except pencils, folders, and notebooks, which students will bring to take notes. BIA will work with parents individually if anything specific is needed for any class.

MISCELLANEOUS:

We have limited seating. Admissions are at the discretion of BIA. The minimum age for students is 5 years old. 

Parents should drop off their students on time and a maximum of 10 minutes before class begins. During the class, parents can wait in the waiting area. After class is over, they should pick up the students promptly. If parents run late, BIA students can stay in the waiting area if needed. BIA students are not allowed in the classroom if their designated class is not running. 

BIA is determined to create a safe learning environment for the students, but BIA is not responsible if they sustain injuries or food allergies.
